governance practices that reduce identification risk and discourage use for individual monitoring.
- Workspace scoping: access is scoped to workspace membership.
- Group-based views: customers can create groups to structure reporting and comparisons.
- Short-lived message content: message content is processed briefly and removed; derived metadata is retained.
Anonymity considerations
Anonymity risk increases as group size decreases. Customers should avoid configuring reporting in a way that isolates individuals.
Where applicable, Workplace.io may hide or limit certain views for small groups to reduce identification risk.
- Group size: small groups can increase the likelihood of identifying individuals.
- Role governance: limit administrative access and sensitive views to trusted operators.
- Interpretation: treat insights as indicators and use them alongside human context and judgment.
Customer governance
Customers are responsible for configuring groups and access policies in ways consistent with local law and internal HR/privacy policies.
Workplace.io provides tools and guidance to support safer configurations.
Recommended deployment practices
For privacy-preserving deployments, we recommend the following practices.
- Use group-level reporting rather than individual tracking.
- Limit administrative access to a small set of trusted operators.
- Define an internal policy for how insights may be used (e.g., improvement planning vs. discipline).
- Disconnect integrations that are no longer needed.
