Workplace.io is a product operated by 5 Voices Inc., a Delaware corporation.
This Privacy Policy applies to our websites, dashboards, and related services where it is posted or referenced.
2. Scope and roles
Workplace.io is used by organizations through Workspaces. In many deployments, an organization (such as your employer)
controls whether and how workplace collaboration data is connected to the Service. In that context, the organization may act
as the “controller” of certain data and 5 Voices may act as a “processor” for that organization. For account, website,
and business operations data, 5 Voices may act as a controller.
If you use Workplace.io through an organization
Your organization may have its own policies about the data it connects and how it uses the Service. If you have questions
about your organization’s configuration, contact your Workspace administrator.
3. Information we collect
We collect information in three main ways: (a) information you provide, (b) information collected automatically when you use the Service,
and (c) information from connected platforms authorized by your Workspace.

Account information: name, email address, authentication method, workspace membership, and role.

Workspace and configuration: workspace name and settings; integration configuration and status.

Connected platform data (Slack/Teams): identifiers (workspace/team IDs, channel IDs, user IDs) and message events/metadata authorized by your Workspace.

Message content (short-lived): message content may be processed briefly for analysis and then removed. We retain primarily derived metadata and aggregated results.

Derived analytics data: structured outputs used for reporting and trends (e.g., counts, scores, and aggregated metrics).

Usage and device data: IP address, device/browser information, timestamps, pages viewed, and diagnostic logs.

Support communications: information you send to us when you contact support or complete security/procurement reviews.
4. How we use information
We use information to provide the Service, maintain security and reliability, support customers, and meet legal obligations.
- Provide and operate the Service: authentication, workspace access, dashboards, and core functionality.
- Maintain integrations: connect/disconnect sources, synchronize events, and handle provider permission failures.
- Generate insights: process short-lived message content into derived metadata and aggregated results for reporting.
- Security and abuse prevention: monitor for suspicious activity, enforce access controls, and investigate incidents.
- Customer support: respond to requests, troubleshoot issues, and provide due diligence materials.
- Billing and transactions: if applicable, manage subscriptions and payments.
- Legal compliance: comply with applicable laws and enforce our Terms.
5. How we share information
We share information only as needed to operate the Service and for legitimate business and legal purposes.

With your Workspace: Workspace Owners/Admins may access workspace settings, member lists, and reporting consistent with their roles.

With subprocessors: vendors that process data on our behalf (hosting, email delivery, billing, inference).

With connected platforms: when you sign in via SSO or connect a data source, the platform processes data under its own terms and your organization’s authorization.

For legal reasons: to comply with law, protect rights and safety, investigate fraud or abuse, or respond to lawful requests.

Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.
We do not sell personal information
We do not sell personal information in the conventional sense. If your jurisdiction defines “sale” differently,
contact us and we will clarify our practices for your review.
6. Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, maintain security, remember preferences, and support basic product functionality
such as referral attribution and session continuity. You can control cookies through browser settings. Some features may not work without cookies.
7. Retention
Retention depends on data type and customer configuration. Message content is processed briefly for analysis and then removed.
We retain derived metadata and aggregated results to support reporting and trends. We retain account and workspace information while the
workspace is active or as needed for legitimate business purposes and legal compliance.
8. Security
We implement security measures designed to protect data, including encryption in transit, encryption at rest in hosting environments,
access controls, and operational monitoring. No method of transmission or storage is perfectly secure, but we work to maintain appropriate safeguards.
9. International transfers
Depending on where you are located and where your workspace is hosted, information may be processed in other countries.
Where required, we support appropriate transfer mechanisms (such as Standard Contractual Clauses) for international transfers.
10. Your choices and rights
You may have rights regarding your personal information depending on your jurisdiction. We support appropriate requests and may coordinate with
your Workspace administrator where your organization controls the data.
- Access and correction: request access to or correction of your account information.
- Deletion: request deletion of your account, subject to legal obligations and workspace administration policies.
- Objection/restriction: request restriction or objection in certain circumstances, where applicable.
- Portability: request a copy of certain information in a portable format where applicable.
11. Third-party services
The Service interacts with third-party services you choose to use, such as SSO providers and collaboration platforms.
Those services process data under their own policies and terms. We are not responsible for third-party practices outside our Service.
12. Children
The Service is not intended for children, and we do not knowingly collect personal information from children.

13. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post an updated version and revise the effective date.
